Before you start
Data, sources, and access to prepare
- A signed-in account
- Billing permission for changes
- Approval for the intended plan, seat, payment, or cancellation decision
Prepare these details
- Identify the current plan and billing frequency
- Confirm the active paid-seat need in Team
- Obtain the authorized payment method
- Download records needed before a cancellation
- Use the amounts shown in Billing or checkout instead of guide examples
Complete the task
- 1
Open Billing
Settings
Select Billing & Subscription.
Expected result: The current account plan and billing state load.
If this does not happen: Ask the team administrator when the page shows read-only billing management.
- 2
Read the status
Billing & Subscription > plan card
Review the displayed status pill.
Expected result: You can distinguish active, trial, cancelling, cancelled, free, or payment-issue state.
If this does not happen: Refresh once if the status conflicts with a just-completed checkout.
- 3
Read the effective date
Billing & Subscription > plan card
Review the displayed renewal, cancellation, or end date.
Expected result: You know when the current state changes.
If this does not happen: Contact billing support if no date appears for a time-sensitive change.
- 4
Review seat use
Billing & Subscription > Team Seats
Compare used paid seats with the seat limit.
Expected result: The current capacity requirement is understood.
If this does not happen: Open Team to include pending invitations before changing capacity.
- 5
Review the payment method
Billing & Subscription > Payment Method
Inspect the displayed card status and expiry.
Expected result: You know whether the method is ready for the next charge.
If this does not happen: Use Update Card if the card is expired or otherwise needs replacement.
- 6
Open the card-update page
Billing & Subscription > Payment Method
Select Update Card once when a replacement is authorized.
Expected result: The secure payment-provider page opens in a new tab.
If this does not happen: Allow pop-ups for CREBuilder and retry once if no tab opens.
- 7
Review invoice history
Billing & Subscription > Invoice History
Find the invoice matching the intended date and amount.
Expected result: The correct invoice row is identified.
If this does not happen: Confirm account and date filters if the expected invoice is absent.
- 8
Download one invoice
Invoice History > intended row
Select Download PDF.
Expected result: The browser downloads an invoice PDF for that row.
If this does not happen: Retry after the request completes or contact support if the download repeatedly fails.
- 9
Open the available plan action
Billing & Subscription > plan card
Select the one authorized upgrade, switch, cancel, or reactivate action.
Expected result: CREBuilder displays the applicable checkout or confirmation details.
If this does not happen: Stop if the action or terms differ from the approved change.
- 10
Review the final terms
Checkout or confirmation
Read the amount, frequency, seat count, and effective date.
Expected result: The full impact is understood before submission.
If this does not happen: Return without submitting if any term is unexpected.
- 11
Confirm the billing action
Checkout or confirmation
Submit the approved action once.
Expected result: A success, scheduled-change, cancellation, or reactivation confirmation appears.
If this does not happen: Wait for the request to finish before trying again.
- 12
Verify the resulting state
Settings > Billing & Subscription
Reload the Billing page after confirmation.
Expected result: Plan, status, effective date, seats, and invoice history reflect the completed action.
If this does not happen: Preserve the confirmation and contact billing support if the live state remains inconsistent.

Troubleshooting and next steps
Billing controls are read-only.
Likely cause: The signed-in team role may not administer billing.
- Read the administrator notice.
- Ask the workspace owner or billing administrator to make the change.
A billing action is unavailable.
Likely cause: Billing maintenance, account state, provider handoff, or plan rules may lock that mutation.
- Read the exact notice on the Billing page.
- Wait for maintenance to end or contact billing support when directed.
The new state is not visible after checkout.
Likely cause: The subscription query may still be refreshing or the checkout may not have completed.
- Return through the checkout success flow.
- Reload Billing once.
- Contact billing support with the confirmation if the state remains inconsistent.
Final verification
- Billing & Subscription > plan card: CREBuilder displays the applicable checkout or confirmation details.
- Checkout or confirmation: The full impact is understood before submission.
- Checkout or confirmation: A success, scheduled-change, cancellation, or reactivation confirmation appears.
- Settings > Billing & Subscription: Plan, status, effective date, seats, and invoice history reflect the completed action.
- No blocking warning, failed status, or unresolved validation message remains in the completed workflow.
