Collaborate, transfer, and reassign documents

Choose collaboration when ownership stays in place and transfer or reassign when responsibility genuinely changes.

Before you start

Data, sources, and access to prepare

  • A team workspace
  • Permission for the intended action
  • The exact teammate who should receive access or ownership

Prepare these details

  • Confirm whether ownership should change
  • Verify the teammate’s name and email
  • Record active collaborators and publication state
  • For offboarding, identify owned CRM contacts, deals, companies, tasks, and commission splits

Complete the task

  1. 1

    Open the document menu

    Documents > intended row

    Select the document action menu.

    Expected result: The actions permitted for that document appear.

    If this does not happen: Confirm the current owner if Share or Transfer is absent.

    Choose the access action

    Document action menu

    Select Share, Transfer, or Reassign.

    Expected result: The matching dialog opens and describes the effect.

    If this does not happen: Cancel if the effect changes ownership when only collaboration is needed.

    Select the teammate

    Access dialog

    Choose one intended teammate.

    Expected result: The dialog displays the target person.

    If this does not happen: Compare both name and email before confirming.

    Confirm the change

    Access dialog

    Select the final confirmation once.

    Expected result: CREBuilder reports success and updates document access or ownership.

    If this does not happen: Refresh the Documents list before retrying an uncertain request.

    Open the document as the target

    Target teammate workspace

    Open the transferred or shared document.

    Expected result: The target can perform the intended work.

    If this does not happen: Ask an Admin to verify role and seat access if the document is visible but read-only.

    Review connected workflows

    Property Hub

    Open the property workspace after an ownership change.

    Expected result: Document, listing, Deal Room, leads, and campaign responsibilities remain understood.

    If this does not happen: Reassign connected tasks or records explicitly when ownership did not follow automatically.

  7. 7

    Transfer an offboarded book

    Team > Remove member

    Choose one replacement owner when the removal flow reports owned CRM records.

    Expected result: The displayed CRM book transfers before the member is removed.

    If this does not happen: Cancel removal until a valid replacement owner is available.

Troubleshooting and next steps

The target cannot edit.

Likely cause: The action, role, seat, or document permission may provide less access than expected.

  1. Confirm whether Share or Transfer completed.
  2. Ask an Admin to verify the target role and plan access.
A member cannot be removed.

Likely cause: They may still own CRM records that require transfer.

  1. Use the removal flow’s book-transfer prompt.
  2. Choose a valid replacement owner before removal.

Final verification

  • Access dialog: CREBuilder reports success and updates document access or ownership.
  • Target teammate workspace: The target can perform the intended work.
  • Property Hub: Document, listing, Deal Room, leads, and campaign responsibilities remain understood.
  • Team > Remove member: The displayed CRM book transfers before the member is removed.
  • No blocking warning, failed status, or unresolved validation message remains in the completed workflow.
