Your buyer list doesn't need another forwarded PDF with "New Listing" in the subject line. It needs an email that tells the right investor, in one screen, why this deal is worth a call.
Email is still where CRE deals start. Investors live in their inbox, your best buyers are people who already know you, and one well-timed email to the right 40 people beats a blast to 4,000 strangers. Here are three listing emails that get replies, plus how to build them without retyping the OM.
The three emails every listing needs
1. The launch email
This is your first shot. Lead with what the property is and the one number the buyer cares about.
Subject: Olive Grove Plaza | 6.52% cap retail center, Glendale AZ
Hi Dana,
Just listed: Olive Grove Plaza, a neighborhood retail center at 5080 W Olive Ave in Glendale. Asking $10.9M, a 6.52% cap on $711.1K NOI.
Grocery-adjacent, high-traffic arterial frontage, and the kind of national co-tenancy your 1031 buyers ask for.
Full OM, photos and the retail map are here: [View Olive Grove Plaza]
Worth a call this week?
Michael
Why it works: The subject line does the qualifying. A buyer who doesn't do retail, Arizona or that cap rate knows in two seconds and moves on. The ones who open are the ones you want.
2. The update email
Price changes, new tenants, a signed lease, back on market: every one of those is a reason to reach out again without being a pest.
Subject: Price improvement: Olive Grove Plaza now $10.4M
Hi Dana,
Quick update. The seller adjusted pricing on Olive Grove Plaza to $10.4M, which puts it at a 6.84% cap on the same $711.1K NOI.

Happy to walk you through the rent roll.
Michael
Why it works: It's short, it's news, and it does the math for the buyer. Make sure the listing page and OM already show the new price before you hit send, so the buyer doesn't land on last month's number.
3. The "this fits your buy-box" email
The email that gets the most replies usually isn't a blast at all. It's a short note to a handful of buyers whose criteria actually match.
Subject: Fits what you told me you're looking for
Hi Marcus,
You mentioned you're after $8 to $12M stabilized retail in the Phoenix metro. Olive Grove Plaza just hit the market at $10.9M, 6.52% cap.

Want the rent roll before the OM goes wide?
Michael
Why it works: It proves you listened. Buyers remember the broker who sends them deals that fit, and they forget the ones who send everything.
Subject lines that get opened
- Property + key number + market: "Olive Grove Plaza | 6.52% cap retail, Glendale AZ"
- News: "Price improvement: Olive Grove Plaza now $10.4M"
- Personal: "Fits what you told me you're looking for"
- Scarcity, if it's true: "Call for offers Friday: Olive Grove Plaza"
Skip "Exclusive Opportunity!!!" and "Don't Miss This." Every listing email in their inbox says that.
Build the right list
The list matters more than the design. Segment by what buyers actually want:
- Asset type and market (retail in Phoenix, industrial in the Inland Empire)
- Deal size (price band or SF range)
- Buyer type (1031 exchange, private investor, owner-user, tenant rep)
- Relationship stage (past buyers, active prospects, cold list)
In CREBuilder's CRM, you can send to a tag, a pipeline stage, or every contact whose recorded buy-box fits the listing. That last one turns email #3 above from a research project into a few clicks.
Stop rebuilding the email from the OM
Here's the part most brokers hate: copying the photo, address, price, cap rate and NOI out of the OM into Mailchimp, fixing the formatting, and hoping nothing got mistyped.
With CREBuilder Email Blasts (included with Pro), the listing builds the email. Pick a finished property and the hero photo, address, price, key metrics and a link to the listing page are already in a designed template. Pick a style, add your note, paste in your signature once, and you're done. You can even combine several listings into one portfolio email.
Then send it your way:
- CREBuilder Mail (now in early access) sends from our shared domain with your name and reply-to, with unsubscribe and suppression handled for you. Connect your own domain to put it in the From line and raise your sending allowance.
- Download the HTML and send it through Mailchimp, Constant Contact or whatever you already use.
Measure replies, not opens
Open rates are noisy (privacy features inflate them). Track what moves deals: replies, listing page visits, OM requests, NDA signatures and tours. If a launch email gets clicks but no calls, the listing page or the price probably needs work, not another email.
Your next listing deserves better than a forwarded PDF. Build your first OM free at crebuilder.com, and the email builds itself from it.
Example emails use sample property data.
